Photography, Video & Media Release Policy

Purpose

McKinney Ice Hockey is a Texas youth sports organization operated for charitable and educational purposes as a 501(c)(3) nonprofit organization. This Photography and Media Release Policy explains how photographs, video, audio, livestreams, and recorded game footage may be captured, used, retained, and shared in connection with McKinney Ice Hockey activities.

This policy is intended to provide clear notice to participants, parents, guardians, volunteers, and spectators regarding media recording and use at McKinney Ice Hockey events.

Notice of Recording

All McKinney Ice Hockey games, practices, camps, clinics, tryouts, meetings, banquets, and other organization-sponsored activities may be photographed, audio-recorded, video-recorded, livestreamed, or otherwise monitored.

Participants and spectators should expect that games and facility-based activities may be recorded through:

  • Facility security camera systems
  • LiveBarn or similar livestreaming and game-recording platforms
  • Organization photography and videography
  • Approved team, league, sponsor, or event photography
  • Media captured by parents, guardians, spectators, and other attendees

Because games and activities may be recorded through facility-operated systems, McKinney Ice Hockey cannot guarantee that an individual will not appear in game footage, background footage, livestreams, security recordings, highlight clips, or photographs. Attendance at or participation in an activity constitutes acknowledgment that incidental photography and recording may occur.

Parent and Guardian Consent

As a condition of a minor participant’s registration and participation, the participant’s parent or legal guardian acknowledges and agrees to this Photography & Media Release Policy.

By registering a player or permitting a player to participate in McKinney Ice Hockey activities, the parent or legal guardian grants McKinney Ice Hockey permission to photograph, film, record, livestream, reproduce, edit, publish, display, distribute, and otherwise use the participant’s image, likeness, voice, jersey number, team affiliation, and recorded appearance for lawful nonprofit, educational, promotional, fundraising, historical, and program-related purposes.

This permission applies without compensation, royalties, or other payment to the participant, parent, guardian, or family.

Permitted Uses

McKinney Ice Hockey may use approved photographs, video, audio, and other media for purposes including:

  • McKinney Ice Hockey’s website and registration materials
  • Social media posts and digital communications
  • Newsletters, email announcements, and program updates
  • Promotional graphics, flyers, brochures, banners, and advertisements
  • Team, league, sponsor, donor, and community presentations
  • Banquet slideshows, year-end presentations, and memory books
  • Awards ceremonies, recognition materials, and historical archives
  • Fundraising, grant applications, annual reports, and donor communications
  • Coaching, training, education, and internal organization purposes
  • Other communications reasonably related to the organization’s charitable youth-hockey mission

Privacy and Safety Practices

McKinney Ice Hockey will make reasonable efforts to use youth participant media responsibly and in a manner consistent with participant safety and privacy.

When practical, McKinney Ice Hockey will avoid publishing a minor participant’s full name alongside a close-up photograph or video. The organization will not knowingly publish a participant’s home address, personal phone number, private email address, medical information, school schedule, or other sensitive personal information with media content.

The organization may use first names, team names, jersey numbers, age divisions, tournament results, awards, or other limited hockey-related information when appropriate for legitimate organization communications.

LiveBarn, Security Cameras, and Third-Party Recordings

McKinney Ice Hockey does not own or control all recording systems at facilities used by the organization. Facilities may use security cameras, LiveBarn, or similar recording and livestream platforms that independently capture, retain, stream, or distribute footage.

McKinney Ice Hockey also cannot control photographs, video, or audio captured by parents, guardians, spectators, news media, or other third parties.

Accordingly, while McKinney Ice Hockey may honor approved restrictions on organization-controlled media, the organization cannot guarantee that a participant will not appear incidentally in:

  • Security camera recordings
  • LiveBarn or similar game footage
  • Livestreams or recorded broadcasts
  • Wide-angle game or crowd footage
  • Team photographs already taken
  • Footage or images recorded by spectators or third parties
  • Facility-controlled or third-party archives

Requests for Limited Media Restrictions

A parent or legal guardian with a legitimate privacy or safety concern may submit a written request for limited restrictions on McKinney Ice Hockey-controlled media use.

When operationally feasible, McKinney Ice Hockey may honor reasonable restrictions for discretionary uses such as:

• Featured player posts

• Social media graphics

• Posed photographs

• Player spotlights

• Banquet memory books

• Promotional materials

• Organization-controlled website content

A request for restricted media use does not prevent the participant from appearing incidentally in facility security footage, LiveBarn or similar recordings, game broadcasts, team photographs, crowd footage, or third-party media.

Requests should be submitted in writing to the McKinney Ice Hockey registrar, board of directors, or other designated organization representative.

Parent and Spectator Expectations

Parents, guardians, and spectators may take personal photographs and recordings of their own children or family members, provided they comply with facility rules and do not interfere with gameplay, participant safety, officials, coaches, or event operations.

Parents, guardians, and spectators should not post or distribute content involving other minors in a manner that is harassing, defamatory, invasive of privacy, threatening, or inconsistent with McKinney Ice Hockey conduct policies, SafeSport expectations, facility rules, or applicable law.

Commercial photography, commercial videography, sponsor media use, news-media access, or third-party content creation at McKinney Ice Hockey events requires advance approval from McKinney Ice Hockey and, when applicable, the facility.

No Compensation

Participants, parents, guardians, volunteers, and attendees are not entitled to payment, compensation, royalties, licensing fees, or reimbursement for McKinney Ice Hockey’s authorized use of photographs, video, audio, or other media under this policy.

Policy Administration

The McKinney Ice Hockey Board of Directors may adopt procedures, forms, and guidelines necessary to administer this policy, including registration acknowledgments, media-release forms, opt-out request procedures, photographer credentials, and social-media publishing standards.

McKinney Ice Hockey may modify this policy from time to time to comply with applicable law, facility requirements, insurance requirements, SafeSport practices, or the organization’s operational needs.

Registration Acknowledgment

By registering for or participating in McKinney Ice Hockey activities, the undersigned acknowledges that games and other activities may be photographed, recorded, livestreamed, or monitored through facility security systems, LiveBarn, or similar platforms. The undersigned, individually and on behalf of the minor participant, grants McKinney Ice Hockey permission to use the participant’s and attendee’s name, image, likeness, voice, jersey number, team affiliation, and recorded appearance in photographs, video, audio, digital media, print materials, social media, promotional materials, banquet memory books, presentations, fundraising materials, archival materials, and other lawful nonprofit communications, without compensation.

The undersigned understands that McKinney Ice Hockey cannot control or prevent incidental appearance in facility security footage, livestreams, game recordings, spectator recordings, or other third-party media. The undersigned further understands that any request for limited internal media restrictions must be submitted in writing and may be honored only to the extent operationally feasible.
