Refund Policies

Refund policies for each program are listed below. If you have any questions about these policies please contact the club treasurer.

Fall 2025-2026

The McKinney Ice Hockey Club strives to maintain fairness and clarity in our refund practices across all programs, including club dues, camps, and other registrations. Our approach is informed by USA Hockey guidance and standard practices among youth hockey organizations. Case-by-Case Review All refund requests are considered individually on a case-by-case basis. Circumstances such as injury, illness, family relocation, or other significant hardships will be reviewed by the Board to ensure thorough and compassionate evaluation. Types of Registration Covered • Club Dues: Refunds may be available for extenuating circumstances. • Camps & Clinics: Requests related to skills camps, specialty clinics, and short-term programs are included. • Other Registrations: This covers tryouts, tournaments, and special events, as applicable. Request Process Submit a written request (email or letter) to the Treasurer, Dodi Whaley, detailing the participant’s name, reason for withdrawal, and relevant dates. The Board will review all requests and communicate decisions directly to the applicant. General Principles • Refund amounts, if granted, depend on the timing of withdrawal and costs already incurred, such as ice time, administrative fees, and program-specific expenses. • Some items, such as USA Hockey registration fees, purchased merchandise, uniform costs, processing fees, and equipment costs, are non-refundable. • League fees are subject to the terms and conditions of the AT&T Metroplex High School Hockey League. • Once a program starts, partial or prorated refunds may be considered only under exceptional circumstances. • Withdrawals after posted deadlines or after substantial program delivery may result in no refund unless approved for special reasons. Special Circumstances Refunds or prorated credits may be considered for: • Serious injury or illness (doctor’s note required) • Family relocation • Program cancellation by the Club • Other exceptional and documented hardship cases approved by the Board No-Refund Situations No refunds will be issued for: • Voluntary withdrawals after deadlines • Dismissal for behavioral or disciplinary reasons • Missed sessions, absences, or choosing to join another club after registering Processing Details • All owed equipment (i.e., loaner jerseys, etc.) and outstanding balances must be settled before a refund is issued. • Approved refunds will be processed promptly, minus any non-refundable or administrative costs.
