Financial Assistance & Hardship Request
Summary:
McKinney Ice Hockey Club offers confidential financial assistance and hardship support to help families continue participating when fees would otherwise create a barrier. Assistance may include partial scholarships, extended payment plans, equipment stipends or a combination of all three, and all requests are reviewed confidentially using consistent criteria and subject to available funds.
Families are encouraged to apply before registration deadlines. In-season hardship requests are considered for major changes such as job loss, illness, or family emergency, displacement from home or other serious financial issues that would prevent or severely limit an athletes ability to play.
McKinney Ice Hockey Club Financial Assistance & Hardship Request Policy
This policy establishes a fair, confidential, and sustainable process for families seeking financial assistance from McKinney Ice Hockey Club (“MIHC”). It is designed to help players continue participating when temporary or ongoing financial hardship would otherwise prevent registration or completion of the season.
Purpose
MIHC believes player participation should not be lost solely because of short-term financial hardship. Financial assistance is intended to reduce barriers to participation while preserving the club’s responsibility to manage limited aid funds consistently, transparently, and with respect for family privacy.
Guiding principles
- Assistance decisions will be based on demonstrated financial need, available club funds, and the goal of supporting as many eligible families as reasonably possible.
- All application materials will be treated as confidential and reviewed only by designated club reviewers who need the information to make a decision.
- The club may award full or partial assistance, approve a payment plan, defer certain charges, or combine these options depending on the family’s circumstances and available funds.
- Applying for assistance will not affect a player’s standing, team placement, ice time, or eligibility to participate in club programming.
Eligibility
Financial assistance may be requested for players registered or seeking to register with MIHC for the upcoming season, camp, clinic, or team program. Families must be in good standing with the club or actively working with the club to resolve any prior balance, unless the current hardship itself explains the outstanding balance.
The club may prioritize applicants who demonstrate one or more of the following:[sportingclubcoaching +1]
- Loss of employment, reduced work hours, serious illness, divorce, death in the family, or another major change in household finances.
- Participation in public assistance programs or school free/reduced-price meal programs.
- Multiple children participating in hockey or other significant family care obligations with demonstrated financial hardship case.
- A documented short-term hardship that makes lump-sum payment impractical even if the family can contribute partially.
Covered expenses
Subject to annual budget approval, assistance may be applied to one or more of the following:
- Club registration fees.
- Team or season fees assessed by MIHC.
- USA Hockey membership reimbursement or support, when permitted by program rules.
- Tournament, travel, uniform, or equipment support only if specifically approved by the club and identified in the annual assistance budget.
Unless specifically approved in writing, assistance does not automatically include optional team extras, discretionary travel spending, spirit wear, guest tournament add-ons, or non-club expenses.
Types of assistance
MIHC may offer one or more of the following support options:
- Partial scholarship applied to season or registration fees.
- Full scholarship in exceptional cases where funds are available.
- Interest-free payment plan spread over a defined period.
- Deferred payment start date for families experiencing a temporary interruption in income.
- Combination award, such as a partial scholarship plus a monthly payment plan.
The club may set annual limits on the maximum amount or percentage of fees covered per player so that aid remains available to multiple families, subject to the availability of funds.
Application timing
Families are encouraged to apply before registering for the season whenever possible. Applications submitted before the posted deadline will receive priority review, while late or in-season applications will be considered as funds remain available and circumstances warrant.
- Primary application window: open at least 30 days before registration closes.
- Target review timeline: decisions issued within 14 to 30 days after a complete application is received.
- In-season hardship requests: accepted for significant changes in circumstances such as job loss, medical emergency, or family crisis.
Application requirements
To be considered complete, an application should include:
- Completed MIHC Financial Assistance Application for each player.
- Parent/guardian contact information.
- Brief explanation of the hardship and the amount/type of support requested.
- Household size and number of dependents.
- Supporting documentation, which may include proof of public assistance, free/reduced lunch eligibility, recent pay stubs, unemployment documentation, and a short written hardship statement when formal documentation is not available.
Review process
Applications should be reviewed by a small Financial Assistance Committee appointed by the MIHC Board, such as the Treasurer, President, Registrar, and one at-large board member who does not have a conflict of interest. Reviewers should use a standard rubric or decision framework to promote consistency and should recuse themselves from any application involving a family member or close personal relationship.
In evaluating requests, the committee may consider:
- Demonstrated financial need.
- The family’s ability to contribute some portion of fees.
- ompleteness of the application.
- Available assistance funds.
- Whether the player has previously received aid and whether the family complied with prior payment or volunteer commitments.
The committee will document the decision, amount awarded, payment terms if any, and any conditions attached to the award.
Notification and acceptance
Families will be notified in writing whether the request is approved, partially approved, waitlisted, or denied. Approval notices should specify the amount awarded, any payment-plan terms, deadlines for acceptance, and any remaining family balance.
Families must sign or electronically acknowledge the award terms before funds are applied. Failure to accept the terms or make agreed payments may result in cancellation of the award or reallocation of funds to another applicant.
Confidentiality and record handling
MIHC will treat financial assistance applications as confidential club records. Application information will be shared only with designated reviewers and officers who need access to administer the program, except where disclosure is required by law.
The club will retain financial assistance applications and supporting income data only as long as reasonably necessary to administer the current season, comply with recordkeeping requirements, and resolve any disputes. A one-year retention period will be in place for highly sensitive hardship documentation unless legal or tax requirements require longer retention.
Non-discrimination and no retaliation
Financial assistance decisions will be made without discrimination based on race, color, national origin, religion, sex, disability, or other status protected by applicable law. No player or family will be retaliated against for requesting assistance, asking questions about fees, or appealing a decision in good faith.
Payment Plans
When a payment plan is approved, the agreement will clearly state:
• Total amount owed after any scholarship award.
• Payment due dates and amounts.
• Accepted payment methods.
• Grace period, if any.
• Consequences of missed payments.
• Point of contact for requesting a temporary modification due to changed circumstances.
The club will make reasonable efforts to work with families before suspending participation because of a missed installment, especially when the family communicates promptly and remains engaged in the process.
Volunteer expectations
MIHC may ask families receiving assistance to support the club through volunteer service where practical and appropriate designed not to single out or embarrass the family.
Appeals
A family may submit a written appeal within 7 to 10 days of a denial or partial award if there has been a material error, missing information, or a significant change in circumstances. Appeals will be reviewed promptly by a different reviewer, the Executive Committee, or the Board designee not involved in the original decision.

Annual review and funding transparency
The MIHC Board will review this policy annually before the registration cycle opens and confirm the budget available for scholarships, payment-plan administration, and any outside grant coordination. The club will maintain clear internal records showing how assistance funds were allocated and should report aggregate program results to the board without disclosing family-identifying information.
